Queensland Symphony Orchestra is seeking an Orchestra Coordinator to assist the orchestra management team across all areas of orchestra administration and back of house for rehearsals, performances and auditions. Supporting the Orchestra Manager and Deputy Orchestra Manager, you will assist musicians with their daily activities and efficiently resolve and/or escalate administration and back of house issues as they arise.

We believe we have the power to enrich lives with every uplifting experience we deliver for our audiences, partners and supporters. The Orchestra Coordinator reports to the Orchestra Manager.

Key Responsibilities include:

  • Support the Orchestra Manager to coordinate and assist musicians with their requests and activities, and efficiently resolve and or/escalate administration and back of house issues as they arise
  • Maintain accurate attendance records for all musicians
  • Prepare musician timesheets and documentation for payroll processing
  • Coordinate musician recruitment processes including auditions and trials, employment contracts, documents, and onboarding
  • Coordinate travel and accommodation bookings and allowances for musicians as required
  • Assist in the preparation of section rosters
  • Assist the Orchestra Manager or act as an orchestra management representative at rehearsals, recordings, concerts, events and touring with the Orchestra, as required
  • Coordinate catering requirements for the Orchestra on and off QSO premises
  • Provide administrative support for the WHS function through noise level monitoring with dosimetry testing and coordinating annual audiometric testing
  • Prepare and maintain rosters for casual operations staff
  • Arrange selected meetings and prepare and distribute minutes
  • Prepare purchase orders for approval by the relevant manager

Essential Criteria

  • Current “C” class drivers licence
  • Intermediate to advanced IT literacy across ERP systems and the Microsoft suite
  • A working knowledge of the performing arts sector
  • Problem solving ability and awareness
  • High degree of honesty, integrity and work ethic
  • Superior verbal and written communication ability and ability to communicate well with people at all levels
  • A team player with strong collaboration skills
  • Ability to work independently, prioritise and meet competing deadlines
  • Capacity and willingness to work outside of normal business hours on a regular basis.

Desirable criteria

  • Experience in and a passion for orchestral music
  • Tertiary qualifications in arts administration or similar (or progressing towards a qualification) or relevant industry experience.
